[Legacy] Patient Messages - Unsecure Emails vs. Secure Messages

To send a regular, unencypted email (think of it like a plain email), the patient will at the very least have to have an email address on file. Here's how you do that:
  • Pull up the patient demographic information
  • click [edit info]
  • click on the section "Phone and Email:"
  • enter the patient's *email address* in the *Patient's Email address:* field
  • click save / [Enter patient information] at the bottom
  • go back to the demographics
  • click [send email]
  • in the To: address, ensure the patients address is correct
  • in the Reply To: portion you can either use the default email address, or include yours if you want to include your own email address as a reply-to
  • The Chart: check box is to place a copy of this unencrypted email into the patient's chart
  • in the New Message: section, type the email message you'd like to send
  • HIPAA Hint: Do not include clinical information, appointment times, or other PHI in this unencrypted email.
  • click [send this] to send a regular, unencrypted email

To send an encrypted, secure message to them, the patient will need to have a patient portal account setup first. Here's how you do it:
  • To setup a patient portal account, go to the patient demographics
  • click [Edit Info]
  • click on the section titled "Appointment reminders and online scheduling:"
  • setup a patient login name and a temporary password, and then relay that information to your client (username + temporary password)
  • They would then sign into your portal with those credentials to read the secure message

Then, once you have that setup:
  • Go back to the demographics
  • click [send email]
  • in the To: address, ensure the patients address is correct
  • The Chart: check box is to place a copy of this encrypted email into the patient's chart
  • in the New Message: section, type the email message you'd like to send
  • click [send this] to send the email

They can then sign on at your portal and view the secure message.
